Main Duties & Responsibilities
The Manager of Property Management will be responsible for overseeing the efficient management and operations of an assigned portfolio of assets. This role involves ensuring the smooth running of day-to-day activities, maintaining high standards of property upkeep, and delivering exceptional tenant services. The Assistant Manager will collaborate closely with various stakeholders to maximise the value and performance of the properties.
Property Maintenance and Upkeep:
- Conduct regular inspections to maintain and uphold high operational and maintenance standards for the properties.
- Establish and supervise operating procedures for the properties, including fault reporting, fire safety, emergency, and evacuation procedures, etc.
- Conduct analysis of best practices and recommend improvement works accordingly.
- Follow up on ad-hoc repairs and rectification works and endorse payment upon completion.
- Regularly inspect common areas, equipment, public walkways, external façade, etc., to maintain cleanliness and functionality.
- Implement energy-saving initiatives to improve operational productivity and cost efficiency.
- Responsible for development work during project upgrading or redevelopment initiatives to ensure optimal functionality and appearance.
Vendor and Contractor Management:
- Ensure essential services are well-supported by qualified and reputable vendors.
- Plan, schedule, and supervise service providers and contractors to ensure efficient operations and address maintenance and repair issues.
- Manage, negotiate, and coordinate new/renewal service contracts to achieve cost synergy and standardise operating procedures.
- Review contract specifications for cleaning, fire protection, landscaping, pest control, LEW, etc., and recommend upgrades to meet higher standards.
Compliance and Risk Management:
- Ensure adherence to standardised procurement processes, including proper documentation and contract terms, to mitigate procurement risks and protect the organisation’s interests.
- Ensure compliance with relevant regulatory requirements, building codes, safety regulations, and environmental standards.
Budgeting:
- Prepare capital expenditure (CAPEX) and operational expenditure (OPEX) budgets.
- Monitor maintenance expenditure of the buildings to ensure alignment with the annual budget.
Tenant & Stakeholder Coordination:
- Coordinate with tenants on handover/takeover, reinstatement, fit-out, and renovation works, ensuring compliance with building regulations and specifications.
- Attend to tenant feedback, maintaining positive landlord-tenant relationships.
- Support tenant and operational needs, ensuring timely resolution of issues.
- Manage end-to-end delivery of CAPEX projects, including asset enhancement and improvement works from planning to commissioning.
- Collaborate closely with the Leasing and Asset Management teams to ensure smooth unit handovers and takeovers.
Other Responsibilities:
- Perform any other tasks assigned by immediate supervisor or management.
Job Requirements
- Bachelor’s Degree in Property Management, Facilities Management, or a related field.
- Minimum 10 years of experience in Facilities Management, Property Operations, or a related discipline.
- Knowledge of shophouse management and URA regulations is an advantage.
- Strong organisational, analytical, and report-writing skills.
- Excellent communication and stakeholder management skills, with the ability to engage effectively across all levels.
